From a client password spreadsheet to something organized

If your clients' passwords live in an Excel or Google Sheets spreadsheet, import it into Passfolio as is: it gets organized by client, encrypted, with each person seeing only their own clients.

The problem

The spreadsheet started as a quick fix and now half the team has it, in several versions, with old passwords and no way of knowing who opened it. When someone leaves, they take a copy of everything.

How it works

  1. 1

    Paste or upload the spreadsheet

Copy the cells from Excel or Google Sheets, or upload a CSV. No need to tidy it up first.

  2. 2

    Check the columns

Passfolio recognizes client, service, user, password, link and notes, and creates any missing clients.

  3. 3

    Add the team per client

Each person sees only the clients they handle, instead of the whole spreadsheet.

  4. 4

    Delete the spreadsheet

Once everything is in Passfolio, the spreadsheet isn't needed. What gets viewed or copied is logged.

Details

  • Up to 1,000 rows per import; duplicates are skipped, never overwritten.
  • Import is on every plan. Team and activity log from the Agency plan.

Features you'll use

Frequently asked questions

Is it bad to keep client passwords in a spreadsheet?

It's convenient, but anyone with the link sees every password, copies end up everywhere and there's no way to know who looked. For third-party logins you want something encrypted with permissions.

Do I need to rearrange my spreadsheet before importing?

No. Passfolio guesses what each column is and you can fix it in the preview before importing.

Can I get everything back into a spreadsheet?

Yes. Export to CSV, with the same columns as the importer, whenever you want.
